JUNIOR ADMINISTRATIVE ASSISTANT

Local construction company is looking for A highly motivated individual to join our team as a Junior Administrative Assistant, seeking a qualified and experienced person to fulfill this full-time position in the Salt Lake City area.

Duties and Responsibilities:

The Junior Administrative Assistant will provide support to our Administration staff and is responsible for helping in all aspects of the administrative management. The Junior Administrative Assistant must be hands-on, organized, strategic, focused, and demonstrate good communication skills, both written and verbal. The ability to be outcome-oriented, work in a fast-paced environment, learn new systems and procedures, be highly organized, and demonstrate a strong attention to detail is essential and imperative for this position.

Responsibilities:

  • Provide general administrative support to the administration team and senior management
  • Document control and tracking
  • Review and route documents to the appropriate staff & departments
  • Update and verify client information in the database system
  • Follow up on email inquiries
  • Learn and maintain a strong working knowledge of the services and products offered
  • Communicate with company vendors
  • Purchasing Support – Assist with the creation and tracking of purchase orders, invoices and material receipts
  • Project Management Support – Assist with the creation and maintenance of project tracking spreadsheets.
  • Forms/Templates – Set-up, standardize and maintain office forms and templates
  • File Organization – Assist office management with scanning and filing of documents
  • Project Photos – Save, organize, and track for projects
  • Office Supply – Manage inventory and restock supplies (i.e. office, printer, paper products, etc.)
  • Forward Thinking - Communicate ideas for improving processes and procedures, to grow with a positive and constructive attitude.
  • Other administrative and clerical functions as directed

SKILLS, KNOWLEDGE, QUALIFICATIONS & EXPERIENCE:

  • Minimum of 6 months experience in administrative support
  • Ability to multi-task
  • Very detail oriented
  • Self-motivating
  • Possess strong written and communication skills, attention to detail, and excellent interpersonal and organizational skills.
  • Administrative support in construction preferred.
  • Self-disciplined, organized and able to effectively coordinate and collaborate with team members
  • Excellent interpersonal and communication skills, both written and verbal
  • Ability to prioritize, multi-task, and meet deadlines
  • Ability to use prevalent technology; e.g., Internet, Cloud, Google, etc.
  • Analytical and strategic thought process to proactively communicate and escalate ideas, suggestions and protentional problems and/or conflicts to the leadership team
  • Must remain professional under demanding and/or stressful conditions and present a professional image at all times while interacting with clients and staff
  • Must be able to pass a pre-employment drug and background screening
  • Must be dependable and have good work ethics
  • MUST HAVE KNOWLEDGE IN MICROSOFT EXCEL, WORD, POWER POINT, GOOGLE DOCS AND GOOGLE SHEETS AND GENERALLY HAVE GREAT COMPUTER SKILLS

  • Greeting customers in a polite, prompt and professional manner. Providing any necessary instructions or directions and informing appropriate contact of person’s arrival.
