POSITION SUMMARY:
The Project Administrator will provide support to our Utilities department and is responsible for helping in all aspects of the administrative management of assigned jobs.
PRIMARY JOB RESPONSIBILITIES:
It is understood that this list is intended to be representative of the functions that may reasonably be expected of the position. It is not intended to be comprehensive.
- Assist Project Manager and Construction Managers in planning and organizing project activities, including creating project schedules, assigning tasks, and setting deadlines.
- Work with subcontractors to ensure they maintain a proper schedule of work.
- Learn and maintain a strong working knowledge of the services and products offered.
- Communicate pertinent information between management and staff.
- Communicate maintain good working relationship with company vendors.
- Purchasing Support – Assist with the creation and tracking of purchase orders, invoices, and material receipts.
- Project Management Support – Assist with the creation and maintenance of project tracking spreadsheets. Monitor job progress, record project progress and performance metrics.
- Communicate pertinent information between management and staff.
- Forms/Templates – Set-up, standardize and maintain office forms and templates.
- File Organization – Assist office management with scanning and filing of documents.
- Project Photos – Save, organize, and scan for project file.
- Forward Thinking - Communicate ideas for improving processes and procedures, to grow with a positive and constructive attitude.
- Evaluate information and analyze problems logically to develop solutions.
- Express ideas clearly
- Promote teamwork, knowledge sharing, and take personal responsibility for growth.
- Ability to handle multiple projects simultaneously, set priorities, and meet deadlines.
- Other administrative and clerical functions as directed.
SKILL REQUIREMENTS
- Minimum of 2 years’ proven experience as a Project Administrator or in a similar role.
- Ability to multi-task
- Strong leadership skills
- Working knowledge of Computer Ease a plus.
- Self-motivating and able to effectively coordinate and collaborate with team members
- Possess strong written and communication skills, attention to detail, excellent interpersonal and organizational skills.
- Administrative support in construction preferred.
- Ability to prioritize, multi-task, and meet deadlines
- Analytical and strategic thought process to proactively communicate and escalate ideas, suggestions and protentional problems and/or conflicts to the leadership team
- Must remain professional under demanding and/or stressful conditions and present a professional image at all times while interacting with clients and staff.
- Must be able to pass a pre-employment drug and background screening.
- Must be dependable and have good work ethics.
- Must have knowledge in Microsoft Office Suite, Smartsheets and generally have great computer skills.
